The Opportunity
MindShare Strategies is a full-service association management and marketing firm that specializes in the transportation and logistics industries. Our services include Strategy/Branding, Research, Media Relations/PR, Advertising, Digital Media, Direct Marketing/Collateral, Special Events, Business Development/Sales, and Administration/Operations. Due to a significant increase in client responsibilities and growth of our firm, we are seeking to outsource part of our Administration/Operations and Membership Administrative duties. This position will require approximately 20-25 hours weekly. The individual can work remotely from anywhere in the U.S.

Skills Required & Job Responsibilities
The individual will have strong working knowledge and skills in Microsoft Office (particularly Excel and Word). The individual will be skilled in working in SAAS platforms (preferred experience, but not required, in SalesForce). Must be able to manage multiple projects simultaneously, have an analytical mind, be organized and detail-oriented.  Responsibilities include:

  • Administration and Operations Management for both WIT and TMSA, includes managing membership and prospect databases through online membership software, communicating with members via email and phone calls, managing member invoices, executing new member communications and sending member packets through the U.S. postal system, maintaining inventory of documents and mailing supplies for member packets, receiving/depositing checks, and assisting in the implementation of special projects and directives by clients.
  • Support in Marketing and Member Growth, including periodic outbound call campaigns and project management of related initiatives.
  • Event Management, including support of RFP and site selection process, speaker management, acting as liaison with venue, project management and administrative support of event-related activities.
  • Project management involving special marketing and membership initiatives for all MindShare clients.

The two primary accounts this new individual will be working on are the Women In Trucking Association (WIT) and the Transportation Marketing & Sales Association (TMSA).

About WIT: This fast-growing non-profit organization was founded in 2007 with the mission to encourage the employment of women in the trucking industry, promote their accomplishments, and minimize obstacles faced by women working in the industry. Currently the association serves more than 5,200 individual members that represent more than 1,180 organizations (including Trucking and Logistics, Education and Associations, Professional Services, Truck and Trailer Manufacturers, Consultants, Technology Innovators and Recruiters). This association is primary a staff-led association with a strong President & CEO and a strong integrated management relationship with MindShare Strategies for nearly six years.

Membership growth with WIT has been significant (double-digit growth each year). Year-over-year growth of the annual Accelerate! Conference (managed primarily by MindShare Strategies) increased 34% in revenue and 39% in attendance (with approximately 1,200 pre-registered) between 2018 and 2019. Member satisfaction has been extremely positive in WIT’s Redefining the Road magazine (published exclusively by MindShare) and year-over-year revenue growth has been in double digits.

Scope of work between MindShare Strategies and WIT involves Daily Operations, Member Services and Support, Member Growth and Retention, Marketing Strategy and Execution (including marketing automation using Hubspot), managing the annual Accelerate! Conference and Salute to Women Behind the Wheel, full publishing and advertising sales of the Redefining the Road magazine, and special projects as assigned.

About TMSA: For nearly a century, the TMSA has been enabling sales and marketing professionals to learn and give back to the transportation and logistics industry through education, connections and resources. Members ultimately strengthen their individual development, their businesses and the industry at large. Today, TMSA’s focus is to be the pre-eminent non-profit sales & marketing association that transportation and logistics professionals turn to for industry-specific education, connections and resources.

Currently the association serves more than 550 individual members that represent nearly 180 organizations (including third-party logistics companies, motor carriers, railroads, intermodal companies, ocean carriers, port authorities, technology innovators, and original equipment manufacturers). This association is led by an active board of directors and strong executives acting in the CEO, CMO and COO roles, and supported by a strong integrated management relationship with MindShare Strategies for 15 years, since 1998.

Membership growth with TMSA also has been significant (double-digit growth each year) and maintained an individual member retention rate of 66% in 2018. Member satisfaction key performance indicators have been very positive in overall member value and member experience at various events.

Scope of work between MindShare Strategies and TMSA involves Administration and Operations Management (including fractional executive services for CEO, COO, and CMO), Financial Management, Membership Development and Growth, Marketing and Communications (including marketing automation using Hubspot), Recognition Management, Event Management (including annual conference, webinars, and other in-person events), and special projects as assigned.
